The five templates below are starting points. Replace every field in braces and verify the underlying statement. Purchase history does not prove that a retailer is out of stock, and a quiet account does not tell you why purchasing stopped.

Check the account before choosing a template

Confirm the contact, recent orders and open conversations. Review any service issues and make sure linked products and terms are appropriate. Assign ownership of replies and define when reminders should stop.

Use the templates in accordance with the requirements applying to your recipients and channels, and with their communication preferences. An existing account and an email template do not establish permission for every type of message. The French reference listed below is jurisdiction-specific, not a rule for every English-speaking market.

Template 1 Help a regular buyer prepare replenishment

Use when purchase history or a conversation supports reviewing familiar lines. Do not send if a recent order has not yet been reflected in the workflow.

Subject: Your next {range} selection

Hi {first name}, we have brought together your usual {range} items to help you prepare your next reorder. You can review products and adjust quantities here: {link}. If your needs have changed, reply to this email and we can update the selection. {signature}

This offers help without claiming knowledge of inventory. The link should open the selection described, not leave the buyer to search the full catalog.

Template 2 Reopen a quiet relationship

Use to understand a change in purchasing. If there is a known complaint, route it to the responsible person before introducing another offer.

Subject: Checking in on your {brand} range

Hi {first name}, I wanted to check in about your {brand} assortment. Would replenishment, a different selection or a conversation about the current range be helpful? You can reply directly. If useful, your selection is available here: {link}. {signature}

The buyer’s answer should change the next action. This message is an opening to understand the account, not a reason to continue sending reminders indefinitely.

Template 3 Support a stockist after the first order

Use after successful receipt and in line with the retailer’s setup schedule. Resolve outstanding delivery problems first.

Subject: How is the {range} setup going?

Hi {first name}, have you had a chance to install or start using the products from your opening order? I can help adjust the assortment or review which items to replenish. Let me know what would be useful, or we can arrange a short conversation. {signature}

The initial goal is to learn what is happening. The next purchase may depend on advice, product information or changes to the opening assortment.

Template 4 Check a complementary product opportunity

Use when there is a credible link to the account’s activity. Review previous objections and commercial conditions before making the suggestion.

Subject: An option to consider for {use case}

Hi {first name}, based on your current {range} selection, {complementary product} may be worth considering for {specific verified use}. Is that relevant to your business? I have prepared a short selection with your account terms here: {link}. You can review it or reply if the use is not relevant. {signature}

The question invites validation. A product absent from your order records is not necessarily absent from the retailer’s business.

Template 5 Deliver on an agreed sales conversation

Use only when the exchange took place. Do not invent a meeting, request or buyer preference to make a message appear personal.

Subject: Following up on {topic}

Hi {first name}, as agreed on {date}, here is {promised item}. You can review the selection here: {link}. Would you prefer to adjust it directly, or should we work through {open question} together? {signature}

A WhatsApp alternative for an appropriate account relationship

WhatsApp is not a reason to duplicate every email automatically. Where the channel is appropriate for the contact, a shorter version can open the same selection:

Hi {first name}, your {brand} reorder selection is here: {link}. Quantities are adjustable. Would you prefer to review it directly or ask {representative} a question? {signature}

RAKOR connects email or WhatsApp outreach with a personalized selection. Your operating model defines the channel, sending conditions and ownership of replies. Review the WhatsApp Business Messaging Policy for the service being used; the template is not permission to contact someone.

In a fictional example, “I would rather discuss it” becomes a sales conversation carrying the selection and context. A received order should be associated with the workflow. Treat these as automatic rules only after validating the data flows and operating configuration for your business.

Evaluate the conversation, not just the send

Track orders alongside useful replies, corrections and service issues. A message that reveals an unresolved problem may help the relationship even if no immediate order follows.

Coordinate email activity with representatives so the buyer receives one coherent follow-up. RAKOR presents personalized outreach based on account history and context. These templates can help define tone and scenarios, with review rules and associated selections agreed for your team.
